How Do I Manage RSVPs and Message Event Attendees in My Mighty Network?

Manage RSVPs, message attendees, control Event link access, and automate responses for seamless Event hosting in your Mighty Network.

Updated this week

In your Mighty Network, you can enable RSVPs for Events so members can easily let you know if they’ll be attending. As the Event Host, you can track RSVPs, message attendees, restrict access to the Event link, and even set up automations to streamline your Event management.

Enabling Event RSVPs

To allow members to RSVP, toggle on "Enable RSVPs" while creating or editing an Event.

This lets members choose “Going,” “Maybe,” or “Not Going.”

  • RSVP Options: Once RSVPs are enabled, members can RSVP, export the Event to their calendar, and add comments.

  • Changing RSVPs: Members can change their RSVP up until the Event starts. After the Event begins, they won’t be able to update their RSVP unless they selected "Maybe," in which case they can change to "Yes" or "No."

Notes:

  • After the Event ends, the RSVP option is no longer visible to members.

  • If you turn off RSVPs, members won’t see any RSVP options, and there won’t be an RSVP list to view.

Restricting Access to Your Event Link

As the Event creator, you can control who sees the Event Link (URL for the online meeting) by toggling on Restrict Event Link.

This setting hides the link unless a member has RSVP’d “Going.”

Note: Members who RSVP’d “Maybe” won’t see the link.

If you leave this setting off, anyone who can see the Event will have access to the link, regardless of their RSVP status.

Steps to Ensure Only Confirmed Attendees Have Access:

  1. Turn on Restrict Event Link to limit access.

  2. Leave the Event Link blank until just before the Event starts.

  3. Close RSVPs shortly before the Event begins so only members who RSVP’d “Going” can see the link.

  4. Add the Event Link when you’re ready.

Once the Event starts, members won’t be able to RSVP “Going” to access the link.

How to Close RSVPs

If you’d like to keep the current RSVP list as is and prevent more members from RSVPing, you can Close RSVPs.

Just toggle Close RSVPs to “on” when editing your Event. This will stop additional RSVPs from coming in. You can reopen RSVPs anytime by switching it back to “off.”

How to Message Event Attendees

Note: Members who RSVP “Going” or “Maybe” to an online Event will get an automatic reminder 10 minutes before it starts. For local Events, reminders go out 24 hours before.

As a Host, if you’d like to send a custom message to attendees of an Event or Event Series, just follow these steps:

  1. Open the Event and click the three-dot menu in the top right corner.

  2. Select "Send Message."

  3. Choose your audience from the drop-down menu:

    • Going

    • Maybe

    • Not Going

    • No RSVPs

  4. Write your message. You can highlight text to add formatting or links.

  5. When ready, click "Send Message."

What Members See When You Message Them

Members will receive a notification that says, “[Host Name] sent you a message about [Event Name].”

When they click the notification, they’ll see your message.

They can reply directly in a private chat with you or click “See Event” to go to the Event page.

Automating RSVP Actions

With Mighty Networks automations, you can set up actions based on RSVP counts to make Event management easier and more efficient. Here’s how it works:

RSVP Triggers You Can Use:

  • RSVP to Event: Trigger an action when members RSVP with a specific status (like “Going,” “Maybe,” or “Not Going”).

  • Event Reached Number of RSVPs: Trigger an action when RSVPs hit a set target (you can set this to be greater than, equal to, or less than a certain count). Note: This trigger fires only once, even if the number of RSVPs changes afterward.

Actions You Can Automate:

  • Close Event RSVPs: Automatically stops new RSVPs once a target number is reached.

    • Suggested Automation: Set the “Event Reached Number of RSVPs” trigger with “Close Event RSVPs” as the action to close RSVPs once you reach your max capacity.

  • Open RSVPs for Event: Reopens RSVPs for a specific Event, allowing members to RSVP again.

Automations like these can help you manage Event attendance smoothly without needing to make manual adjustments.

Note: RSVP automations are available on the Business Plan and above. Click here to see which automations are included in each plan.

Downloading Event RSVPs

To get a full list of Event RSVPs:

  1. Go to the Event post or the RSVP page.

  2. Click the three-dot menu.

  3. Select Download RSVPs.

You’ll receive an email with a link to download an csv file of the RSVP list.

Who Can Download RSVPs?

This option is available to Hosts and Moderators in the space where the Event is held, as well as the Event creator (if they aren’t currently a Host or Moderator).

The downloaded RSVP list will include the following details for each member:

  • Member ID

  • First Name

  • Last Name

  • Email Address (visible only to Network Hosts and Space Hosts on the Courses Plan or above)

  • RSVP Status (Going, Maybe, Not Going)

  • Date RSVPed
